Creating Boards in KaiNexus by Persona: Leaders

Why do Personas matter?

In our last 'Boards by Persona' webinar, we learned that creating different Boards based on Persona is a great way to engage everyone in your organization. Each Persona has different responsibilities and roles in improvement work, so by setting up Boards through the lens of each of them, you can create a more valuable experience for everyone involved. In this Webinar Series, you’ll learn to:  

  • Highlight effective strategies for Board design 

  • Understand Persona-based Board Structures

  • Feel comfortable creating, customizing, and improving your Boards

But before creating Boards, you must first assign Personas in your system. By assigning Personas in KaiNexus, you can essentially use it as a filtering system to categorize users based on two main things: 

  1. How often do they use KaiNexus? 

  2. What do you want them to do in the platform?

Once we determine this, then we want to work to customize and create an experience for our Users. 

Remember, the five Personas include: Frontline, Leader, Executive, CI Coach, & Champion. In this episode of the ‘Boards by Persona’ webinar series, we focused on the Leader Persona.

Who is a Leader?

So, what classifies a Leader? Leaders are people in the organization who are responsible for driving improvement work from Frontline workers in order to meet the goals set by their Executives. These Leaders should be modeling and promoting CI culture in order to get Frontline users to participate. Although Leaders tend to make up a smaller percentage of your overall users, only about 5-10%, they are extremely valuable in your improvement culture.

As a Leader in KaiNexus, we want their experience to be simple and uncomplicated while still giving them the information they need. This information includes: 

  • Items their team has submitted & the status of those Items 

    • What are Frontline workers doing? Are there overdue or unassigned Items? 

  • Activity and Engagement metrics for their Team & Location 

    • What is the overall health of the organization? Are there any bottlenecks that need to be worked through? 

  • The health of large-scale initiatives & strategy deployment 

    • What is the status of strategic projects? Are you working on these with Frontline users, Executives, or other Leaders? 

  • Visibility into organization-wide KPIs 

    • What do metrics look like? What needs to change to reach our goals?

Today we are going to dive into four custom Boards built for what matters to Leaders: 

My Leader Board

The ‘My Leader Board’ can be used as a ‘hub’ for all of a Leader’s improvement work. We want to keep it simple - being careful not to overwhelm a Leader but also providing all the information that is needed. 

As a Leader, it’s important to stay current with the status of ideas from their Frontline workers - whether they need to be assigned out, something is overdue and needs to be checked in on, or the resolution is submitted, and the Leader needs to approve it. This Board will help Leaders do exactly these things! 

  • ‘Items that Need my Attention’ Card: Filter for tasks where the resolution has been submitted and needs a leader's approval. Include intentional columns to bring attention to the most important information, including 'Key People' and 'Last Comment'. (Don’t forget to use the Next/Previous Arrows to go through these Items easier!)

  • My Teams / My Ideas Stacked Cards: Create a standard Item List Card to quickly review your team's ideas as well as your own by using the Stacked Cards feature. (Create a secondary header to give a visual cue that it’s a stacked card!)

  • Quick Links Card: Use a Freestyle Card for important links - include a link to monthly slides that need updating, blogs to read weekly, or even link to other Boards to navigate through the system easily! 

  • Activity Feed Card: Easily review what is going on with your team through the Activity Feed Card. (Check out the new support article on Activity Feed Cards with a brand new video created by Adam D.!)

 

Location Huddle Board

The Location Huddle Board is best for Leaders who need a more broad view of the improvement work going on. For example, someone who oversees multiple teams or multiple locations. Use the Location Filter on the left side to filter the information on the Board as needed! 

  • ‘Create Idea’ Button Widget Card: Quickly submit an idea while working off your Huddle Board during a meeting. 

  • Strategic Projects Card: Review the status of Strategic Projects by creating a Card that highlights this. Stay up to date on the latest comments, edits, and due dates. 

  • Kanban View: Visually review Ideas in the system by lifecycle. Don’t forget to drag and drop between statuses!  

  • Report Cards: Create Engagement and Activity Report Cards to determine the overall health of your organization. Use this along with a People List Card with the last login date from each User to determine an even more detailed account health overview.

 

Team Processes Board

Creating a Team Processes Board is a great way for Frontline and Leaders to communicate. This Board helps Frontline users see how their ideas are progressing and, in turn, helps Leaders visualize how many ideas are coming through the system and if anything needs their help to continue moving in their lifecycle. 

  • Task Widget Card: Create a widget to visualize how many tasks individuals are completing. 

  • Unassigned Tasks Card: Quickly look through unassigned tasks by creating a filtered Card, and Leaders can quickly assign these. 

  • ‘Ready for Sign Off’ Card: Make it easy for Leaders to approve tasks that have been submitted for resolution. Additionally, this gives Frontline users a visual of how their work is progressing. 

  • Active, Parking Lot, or Completed Item Cards: By giving the entire team a visual of how an idea is progressing, Leaders can intervene when needed on Parking Lot ideas to keep them moving along. This could mean a bulk comment on all Parking Lot ideas to request an update on the status! 

 

Training Team Huddle Board

This Training Team Huddle Board is near and dear to our hearts, as our Training team actively uses this Board to communicate and stay organized. 

  • Calendar View: Create a calendar view to stay on top of training sessions, important meetings, etc. This is extremely valuable for a smaller team who are focused on events, sessions, or meetings. 

  • ‘Log a Training Session’ Widget: Quickly log a Training Session, Meeting, etc to keep track and keep your team in the loop about what has been completed. 

  • ‘Meeting Notes’ Card: Create a place where you can capture details and important takeaways from sessions or meetings to keep everyone up to date.
